Concierge & Front-of-House Security

A welcoming
front-of-house
with security built in

The front-of-house environment shapes how people experience a building — whether they are residents, employees, visitors, contractors or customers.

It is also an important point of control.

Innovative Security Solutions provides concierge and front-of-house security officers who combine professional customer-facing service with access management, building awareness and an agreed response to security concerns.

The service is built around how people use the property, how access needs to be managed and the standards expected from the front-of-house operation.

Front-of-house in operation
Professional service. Controlled access. Clear response.

Front-of-house responsibility

More than someone behind the front desk

Welcome people. Control access. Know when to act.

A successful front-of-house operation needs to feel professional and approachable while maintaining clear control of the building. The balance will differ from property to property.

Our concierge and front-of-house service is managed around four core responsibilities:

01
Welcome

Creating the right first impression

Our officers receive residents, employees, visitors, contractors and customers professionally and direct them according to the arrangements established for the property.

02
Control

Managing access appropriately

We manage agreed visitor procedures, passes, keys, fobs and access to controlled areas around the requirements of the building.

03
Observe

Maintaining awareness of the environment

Our officers develop familiarity with normal activity around the property, helping them identify unusual behaviour, access concerns or other issues requiring attention.

04
Respond

Knowing what to do when something is not right

Where an incident or concern arises, the officer follows the agreed site procedures and escalation arrangements.

Our front-of-house service improves the experience of the building while quietly maintaining control of it.

Service establishment

Building the front-of-house operation around the property

The service starts with how people use the building

An office headquarters, Build-to-Rent development and mixed-use property may all have a reception area. The way those spaces operate can be very different.

Innovative Security Solutions establishes the front-of-house requirement around the people using the building, its access arrangements and the responsibilities expected from the officer.

We start with a detailed assessment of the property and its day-to-day operation to establish the individual site requirements.

01

Understanding the environment

We establish who uses the property, normal operating hours, busy periods, public areas and the parts of the building requiring controlled access.

02

Defining access and visitor procedures

We agree how visitors, residents, employees, contractors and deliveries should be managed, together with any procedures for passes, keys, fobs or controlled areas.

03

Setting the front-of-house standard

We establish the presentation, customer-service expectations, site knowledge and day-to-day responsibilities required from the front-of-house team.

04

Establishing the response arrangements

We define what the officer should do when access is challenged, an incident occurs or another issue needs to be escalated to property management, our operational support team or another agreed contact.

Day-to-day operation

What the service looks like day to day

Once the assignment is established, our officers work to the agreed front-of-house procedures and responsibilities for the property.

The exact duties vary by site rather than applying the same reception model everywhere. Depending on the assignment, the service can include:

01

Visitor management

Our officers receive visitors, establish the purpose of their visit and follow the agreed sign-in, verification and access procedures for the property.

02

Access control

We manage agreed entry procedures and help maintain control of private, restricted or staff-only areas.

03

Contractor management

Our officers work to the property’s agreed contractor procedures, confirming expected attendance and managing access, passes and site movements where these form part of the assignment.

04

Deliveries & couriers

We receive, record or direct deliveries according to the arrangements established for the property.

05

Keys, passes & fobs

Our officers manage agreed issue, return and control procedures where these responsibilities form part of the assignment.

06

CCTV awareness

Where CCTV observation forms part of the front-of-house role, officers maintain awareness of relevant surveillance and follow the agreed response route when something requires attention.

07

Building checks

We carry out defined internal or external checks where these are included within the assignment.

08

Incident response

Our officers deal appropriately with access concerns, suspicious behaviour, disturbances or other incidents within the agreed responsibilities of the assignment.

Professional presence

Without making reception feel like a checkpoint

The way we deliver security matters

Front-of-house environments are different from conventional security posts.

Within a short period, an officer may deal with a resident returning home, an employee arriving for work, a contractor requiring access, a courier making a delivery and somebody attempting to enter an area they are not authorised to use.

We prepare the assignment so the officer understands not only the security instruction, but how the property is expected to operate.

The aim is not to make reception look heavily secured. It is to make sure the person managing it understands security.

01

The property

Know how the building operates. We establish the entrances, occupiers, shared areas, access routes and practical day-to-day arrangements the officer needs to understand.

02

The people

Recognise different user needs. The service is set up around the different ways residents, employees, visitors, contractors and customers interact with the property.

03

The access rules

Know what should and should not happen. We define who is permitted where, how visitors should be managed and when an access concern requires further attention.

04

The response route

Know when to escalate. We agree which matters can be resolved at the front desk and which require property management, our operational support team, emergency services or another nominated contact.

Build-to-Rent & managed residential

Part of the resident experience — and part of the building operation

Build-to-Rent and professionally managed residential developments bring residents, guests, couriers, contractors, maintenance teams and property staff through the same managed environment.

The front-of-house team often sits at the centre of those movements.

We establish the assignment around the way the development operates, with responsibilities agreed for the resident-facing environment and the security controls that sit behind it.

Managed residential
Security and resident experience working together.
01

Residents & guests

Our officers provide a professional front-of-house presence, support visitor procedures and assist residents appropriately within the agreed scope of the service.

02

Controlled access

We support the property’s agreed access procedures across residential, communal and restricted areas.

03

Parcels & deliveries

Couriers and deliveries are managed or directed in line with the operating procedures established for the development.

04

Contractors & maintenance teams

Our officers confirm expected attendance and support controlled access where this forms part of the assignment.

05

Communal areas & amenities

We maintain awareness around shared areas and escalate issues through the agreed property-management and security route.

06

Out-of-hours activity

Where required, the front-of-house assignment provides a visible point of contact and security awareness during quieter periods.

07

Incidents & resident concerns

Our officers respond professionally, document relevant incidents and escalate matters requiring further action.

In managed residential environments, security and resident experience should support each other — not compete with each other.

Client visibility

From front-desk activity to client visibility

Important activity should not disappear at reception

The front-of-house team can become the point through which a significant amount of building activity passes.

Our officers record relevant front-of-house activity throughout the assignment and communicate incidents, exceptions and important handover information through the agreed reporting route.

01

Visitor activity

Relevant visitor or access information recorded according to the property’s procedures.

02

Incidents

Security concerns, disturbances or unusual activity documented and escalated where required.

03

Keys & passes

Appropriate records maintained around controlled issue and return where this forms part of the service.

04

Contractor activity

Relevant attendance or access information maintained where required.

05

Shift handover

Important operational information passed between officers so matters are not lost between shifts.

06

Client reporting

Relevant incidents, exceptions or recurring concerns communicated through the agreed reporting route.

Good front-of-house control depends on information carrying through the operation — not stopping when a shift ends.
